We are seeking a detail-oriented and experienced Payroll Coordinator to join our team. In this role, you will play a critical part in ensuring accurate and timely processing of payroll and related tasks. You will be responsible for various payroll duties including reviewing and exporting hours out of the Time & Attendance software, weekly payroll processing, handling union reports, Onboarding, and other related administrative tasks as required. This a hybrid position working 3 days on-site and 2 days remote.
Responsibilities:
- Review, audit, and process multi-state payroll for Union, exempt and non-exempt employees
- Preparing monthly union reports
- Ensure compliance with CBAs, union rules, and labor regulations
- Update and process union-specific payroll deductions, including union dues, pension contributions, and other mandated deductions
- Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates
- Oversee new hires onboarding processes
- Track and update sick/vacation time
- Assist with training staff on time keeping, payroll, and onboarding processes
- Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices
- Assist with employee inquiries on benefits contribution/coverage, FMLA, disability, and leave related matters
- Maintain accurate records and documentation related to benefits and leave administration, ensuring compliance with company policies and regulatory requirements
- Participate in HRIS-related projects to streamline and improve efficiency and effectiveness
- Communicate updates, discrepancies, and other issues with the Payroll Corp team
- Assist with Quarter end/Year-end payroll processes
- Collaborate with HR and finance departments to resolve payroll discrepancies and issues
- Maintain accurate payroll records and files in accordance with company policies and regulatory requirements
- Perform other related duties as assigned
Required Skills/Abilities:
- Comprehensive knowledge and experience with Payroll, HR and benefits administration
- Multi-state/multi-union payroll experience highly preferred
- Strong familiarity with laws pertaining to payroll FLSA
- Excellent communication skills, both verbal and written
- Strong analytical and problem-solving skills
- Outstanding focus on detail
- Experience in working in a fast-paced environment
- Proficiency with Microsoft Office Suite (Excel, Word)
- Experience with UKG a plus
- At least 4 years of experience in HR/Payroll is highly preferred
Education and Experience:
- Bachelor’s degree in a related field (e.g., Business Management) preferred
